Kothok AI, Inc. (“Kothok,” “we,” “us,” or “our”) respects your privacy and is committed to protecting your personal data. This policy explains how we look after your personal data when you visit our website (kothok.ai) and use Kothok.

We may collect, use, store, and transfer different kinds of personal data about you, grouped as follows:

• Identity data: first name, last name, username, or similar identifier.
• Contact data: email address and telephone numbers.
• Technical data: IP address, browser type and version, time zone and location, browser plug-in types, and operating system and platform.
• Usage data: information about how you use our website, products, and services (including chat logs).

We will only use your personal data when the law allows us to. Most commonly, we use it to:

• Provide the agent services you have requested.
• Build and improve the agents in your own workspace. Your business content and conversations power your workspace only. They are not used to train models we run for other customers.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. We limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know.

We access your Google Calendar only if you connect it, and only to check your availability and create meetings your visitors book. You can disconnect it at any time. Google user data is not used to train or improve generalized AI/ML models. Kothok’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We use a few cookies and similar storage on kothok.ai, including kothok.ai/docs. The first time you visit, we ask which optional cookies you’re happy for us to set. You can change your mind at any time from Cookie settings at the bottom of any page.

• Necessary (always on): keep you signed in and secure, remember your cookie choice for 12 months, and run our chat window so you can talk to us on the site.
• Analytics: Google Analytics and Microsoft Clarity session recordings, which show us how pages are used so we can improve them.
• Marketing: Meta Pixel and Google Ads, which measure how our ads perform.

If you turn a category off, we don’t load those tools and we delete the cookies they set. If your browser sends a Global Privacy Control signal, analytics and marketing stay off. The cookies these tools set:

• _ga, _ga_* (Google, up to 2 years): Google Analytics.
• _clck (Microsoft, 1 year) and _clsk (Microsoft, 1 day): Microsoft Clarity.
• _fbp (Meta, 3 months): Meta Pixel.
• _gcl_au (Google, 3 months): Google Ads.
• kothok_vid_* (Kothok, until you clear it) and kothok_sid_* (Kothok, until you close the tab): browser storage the chat uses to recognise you and keep your conversation going.

Our site links to other sites we don’t run. This policy only covers what we do with your data. For anything you share on those sites, check their own privacy policy.
